Cost of Vacancy Calculator
Every unfilled role costs lost output each working day. Estimate that cost and see how much you save by filling the role sooner.
How the calculation works
The calculator treats an empty role as lost output. Start with the annual salary and choose a value multiplier that reflects what the role produces for each unit of pay. That gives a daily lost output when divided by working days. Multiply by the number of working days the role stays open. Add any weekly cover costs, such as overtime or contractors, and you get the total cost of the vacancy. If you are unsure about the multiplier, use a lower figure so the estimate stays conservative.
The calculator does not count recruitment fees, lost deals, client churn, or team burnout. These costs are real but hard to price, so they are left out of the estimate. While a role stays open, an employer can miss sales opportunities, lose existing clients, or place extra strain on current staff. Use the calculator to see the cost of lost output and cover costs, then keep these other effects in mind when you weigh the case for hiring sooner.
Questions employers ask
How is the cost of an unfilled role calculated?
The calculator multiplies annual salary by a value multiplier you choose. That total is divided by working days to give a daily lost output figure. It is then multiplied by the number of working days the role stays open. Any weekly cover costs, such as overtime or contractors, are added to give the total vacancy cost.
How do I choose the value multiplier?
The multiplier represents what the role produces for each unit of pay. If you are unsure, use a conservative lower figure. A higher multiplier suits roles that directly generate revenue or have a large effect on output. Choose a number that matches your business reality rather than an optimistic estimate.
What does the calculator not include?
The calculator does not include recruitment fees, lost deals, client churn, or team burnout. These costs are real but hard to price, so they are left out. The estimate focuses on lost output and any weekly cover costs such as overtime or contractors.
How quickly can Aristo Search provide candidates?
Aristo Search aims to present a vetted shortlist in about 15 days. If that shortens the time to fill the role, the calculator shows how much you save by filling it a chosen number of days sooner.
What is the saving from filling a role sooner?
Enter how many days sooner the role could be filled. The calculator shows the lost output you would avoid over those days, based on the same salary, multiplier and working days. Cover costs saved would come on top.
